Name the actual Copilot starting point

Microsoft is transitioning names to Microsoft Copilot and Microsoft Copilot Chat; Microsoft 365 Copilot remains a familiar search term. A name alone is too broad for selection. Copilot Chat can use supplied context and certain work content; broader access depends on interface, licence and configuration. Plan custom agents separately around their data and action scope.

Existing permissions are the starting point

AI does not automatically narrow access to an overshared document. We review owners, groups and sharing settings on representative SharePoint content. Search restrictions can influence discovery but do not replace access permissions. A pilot therefore includes permitted and denied cases across different test roles.

Include history and web search in the data path

Documented protections do not mean all data remains unchanged in one place. Microsoft explains stored interactions and separate handling of Bing search queries. For sensitive tasks, determine whether web search is needed, what information belongs in inputs and which retention rules apply. Assess the interface actually in use.

Example: turn a meeting into reviewable tasks

A project team tests a fixed route from meeting to task list. Clarify recording or transcript prerequisites and participant access first. The team then checks decisions, owners and deadlines against the meeting record. Transfer to other systems occurs only through a separately accepted step. This makes it possible to measure whether total hand-off effort decreases.

Assess adoption and impact separately

Growing usage does not by itself prove better work. Establish a baseline for the selected process and compare time to acceptance, errors and corrections. Include administration and training effort.
