Names change; the assessment questions remain
Microsoft describes a naming transition from Microsoft 365 Copilot to Microsoft Copilot, and from Microsoft 365 Copilot Chat to Microsoft Copilot Chat. Previous names may remain in interfaces and licences. This guide retains them for orientation. Record the actual user experience and entitlement for a comparison; the visible brand name alone does not prove functionality.
The decisive question: where does context come from?
Copilot Chat can use explicitly supplied work content, certain open app content and agents. Current documentation also describes broader work context in Outlook. The simple claim that Chat knows only the web is therefore too broad. Microsoft differentiates depth of work context and app integration by experience and licence. Test those differences on your own tasks.
Example: review one file or establish customer status
A bounded file context may suffice for editing the wording of a supplied proposal. For customer status drawn from messages, meetings and project documents, finding the right sources is part of the job. Compare these cases separately. Otherwise the pilot rewards the tool with the better example even though everyday work is quite different.
Measure the difference in the finished result
Give both variants the same task and approved source documents. Record manual searches, missing context and time to a reviewed result. If a user cannot retrieve necessary information, check permissions and licensing before assuming a model failure. A general performance benchmark is not a substitute for this operational comparison.
Working template: two tasks, the same criteria
Create a comparison table with the task, sources, visible Copilot experience, permissions, missing context and time to acceptance. Run one task with a single file and one with distributed work information. Record a missing feature as an availability limit. Do not silently change the source or task during the comparison to obtain a better result.
- Quality: check the same required information in both outputs.
- Cost: compare only licence arrangements that actually support the task.
Decide licences by role rather than in bulk
A defensible choice identifies frequent tasks, required sources and expected outputs for each role. Include training, administration and correction effort in the cost assessment.
