Distinguish live assistance from follow-up
Microsoft distinguishes use during a meeting from subsequent work with an available transcript. Meeting options and access rights affect which content can be used afterwards. Agree the mode in advance rather than expecting a transcript that does not exist after the call. Organisers and participants should know what follow-up is intended.
No recording does not mean no retention
Microsoft documentation notes that Copilot prompts and responses may be retained under applicable Purview policies even without recording or transcription. Separate recordings, transcripts, AI interactions and exported notes in your internal rules. For confidential meetings, the actual data path matters; absence of a recording indicator does not fully answer the retention question.
Example: turn a project meeting into an action sheet
After an internal project meeting, prepare a table with the task, owner, proposed deadline and supporting discussion reference. Unconfirmed suggestions receive a separate status. A statement such as “perhaps next week” must not become a firm deadline. The project lead reviews the table with the people involved and transfers only confirmed tasks into the primary project tool.
Check speakers, numbers and decisions deliberately
Focus review on statements with operational consequences: who made the commitment, which number was stated and whether it was a decision or an idea. Mark unclear speaker attribution and interrupted sentences explicitly. For important decisions, brief confirmation by the owners is more dependable than a polished summary. Keep the original source traceable where permitted.
Working template: meeting notes with three statuses
Request separate sections for “Decided”, “Suggested” and “Open”. Each task needs an owner, a deadline or an explicit missing deadline, and its basis in the meeting. Ask for uncertainty to remain visible. Human review focuses especially on status changes: a suggestion becomes a decision only through confirmation. This avoids apparently clear task lists with invented commitments.
- Distribution: include only content approved for the recipients.
- Follow-up: maintain confirmed tasks in the primary work tool.
Measure the hand-off into work
Do not merely count generated summaries. Observe how many tasks need later clarification, whether ownership is missing and when the confirmed overview is available.
