Define the products being compared first
A ChatGPT workspace with permitted apps is a different assessment target from a custom API application. The same applies to Gemini: Workspace features, Gemini Enterprise and the API are separate routes. Choose the actual available interface for each candidate and record required accounts, features and administration. This avoids mixing different product packages under one model name.
Example: a management briefing from the same documents
Both routes receive approved project reports, a fixed structure and the same deadline. The output must distinguish risks from facts, support material claims and leave open questions visible. Also check whether the finished file can be used in the normal workflow. Evaluation includes source checking, format corrections and hand-off as well as drafting time.
Balance source proximity against integration effort
Built-in features can shorten paths within a suite. Connected apps can bring existing sources into another work interface. In both cases, access roles, permissions and format coverage remain decisive. Test the most frequent task in its normal interface plus a difficult case with conflicting or missing information. This exposes the practical difference.
Do not infer data rules from a brand name
The comparison records which interface processes information and whether additional connections are involved. Google describes different history and retention behaviour across Workspace services. ChatGPT connections require review of the identity used and organisational app controls. An appropriate business agreement for one service does not automatically approve every connected system.
Base the next expansion on an evidenced improvement
The results record names the recommended route, its prerequisites and remaining rework. Split use may also make sense where tasks are clearly separated without unnecessary data movement. The AI System Check defines an initial pilot that supports a decision after evaluation: continue, adapt deliberately or stop.
Decision matrix
| Assessment question | ChatGPT | Gemini |
|---|---|---|
| Actual access | Name the available workspace and permitted apps | Name the Workspace feature, Enterprise or API route |
| Target artefact | Test the file or output through hand-off | Test the same output in the chosen interface |
| Data access | Check connected identity and permissions | Check feature access and actual sources |
| Total effort | Setup, task execution, review and operation | Record the same effort categories |
Keep it verifiable
