A notebook keeps work context together
Integrated notebooks give a topic a dedicated place for sources and conversations. Google’s examples range from teaching material to product information and project documents. For a small business, that could be a bounded research pack for a new service. Sources still matter: a notebook does not guarantee that all information is current, complete or consistent. Name its purpose, responsible editor and document date. A clearly defined topic is a better starting point than an unstructured collection of every company file. This also makes later updates and removal of obsolete material easier to review.
Germany is excluded from the initial Workspace rollout
The September 17 announcement lists Workspace customers and Workspace Individual subscribers outside the EEA, plus personal Google accounts globally. The gradual rollout began on September 14 and can take up to 15 days for visibility. This does not establish current availability for a German Workspace tenant. The September 22 study-notebook announcement says EEA access will follow in coming weeks, without a committed date. A personal account is not a substitute for business authorisation. Prepare source packs and learning objectives without assuming that a currently unavailable team feature can already be used.
Check both services and select sources carefully
For the organisation feature, Google requires both Gemini and Gemini Notebook to be enabled for the relevant group or organisational unit. The announcement describes starting through “New notebook” in the sidebar and initially adding up to ten sources. That is a product-specific figure at the review date, not a universal limit across notebook products. Select sources deliberately: a valid service description, current process documentation and an approved example. Duplicate versions increase checking work. Record each file’s purpose, date and owner so later responses can be assessed against a traceable source set.
Example: prepare a new service offering
A consulting firm wants to turn existing materials into customer training. The notebook receives only the approved sources for that topic. First it identifies claims, audiences and information gaps; then it produces an outline. The instruction requires a separation between sourced material and proposed additional chapters. Check substantive claims against the sources before drafting. Keep a separate list of missing information. This makes it clear whether the pack supports publication or still needs research. It is a suggested workflow, not a promise of automatic editorial approval or a guarantee that all source conflicts will be detected.
Distinguish Gemini Notebook from app notebooks
NotebookLM was officially renamed Gemini Notebook on July 16, 2026. It remains a standalone product while Google expands connections with the Gemini app. “Notebooks in Gemini” here refers to that integrated surface, not a blanket new release of the standalone service. The regional limit for September’s Workspace integration must therefore not be applied to all Gemini Notebook features. New audio, learning and book features have their own announcements. Use the full product name and surface in the internal project plan to avoid confusion about licensing, support and the administrator setting that needs checking.
Define source maintenance and review before scaling
A useful evaluation includes a question with a clear source, a conflict between two documents and information absent from the notebook. The result should identify supporting material and acknowledge uncertainty. Decide who replaces sources and marks older drafts as outdated. Do not move customer information into a personal test account merely to get ahead of a regional rollout. Meanwhile, the AI System Check can assess whether existing Drive search, the standalone notebook service or another knowledge workflow already fits. The choice follows the currently authorised working method rather than an announced feature that has not reached the organisation.
Questions about notebooks and the EEA rollout
Can a German Workspace team start immediately? The reviewed September announcement initially excludes the EEA. Is there a firm German launch date? The study-notebook announcement only says coming weeks. Are personal accounts equivalent? They are listed globally but have a different usage context. Why do two services need enabling? The organisation feature connects the Gemini app with Gemini Notebook. Is ten sources the limit for NotebookLM? No: that figure belongs to this app integration at the review date. What can a team prepare now? A clear topic, authorised sources and an output that can be reviewed professionally.
