What the rename means
Google confirms the new name in both its German and English announcements. The service remains standalone while becoming more closely connected with the Gemini app and other Google surfaces. July’s announcement also describes a staged expansion with a cloud-computer environment for certain accounts to support analysis. Do not treat the rename as evidence that every user automatically received every added capability. “Gemini Notebook, formerly NotebookLM” is a clear first mention in internal instructions. After that, identify the product, account type and enabled feature precisely so colleagues can follow the same working method.
New learning and audio features in September
The September 18 Workspace update lists a mobile audio recorder, spoken real-time notebook conversations for adults, interactive learning overviews and revised quiz and flashcard tools. It also adds short video overviews. Google describes an extended rollout beginning September 15 that can take longer than 15 days, and lists Workspace customers alongside personal accounts. Verify the particular feature in the intended account. The announcement about notebooks inside the Gemini app has separate EEA limits. Do not automatically transfer that regional restriction to the standalone-product features described here.
Expert Intelligence adds eligible specialist books
On September 17, Google announced Expert Intelligence for Gemini Notebook. Users can add eligible e-books purchased through Google Play Books as sources. Not every title qualifies; eligibility must be checked for the specific book. A company could use this alongside internal learning material when a specialist book is relevant. The source gains a clear context, but still requires professional assessment. Enabled access to Gemini Notebook, Google Play and Google Books is among the prerequisites. Technical access also does not automatically expand permission to redistribute a book’s contents in internal or external publications.
Example: introduce new employees to a process
A business combines a valid process description, an approved example and frequently asked questions. It asks for a learning overview built around three typical situations. Each answer should point to the relevant source, while unclear responsibilities are recorded as open issues. An experienced colleague reviews the overview and corrects misunderstandings before new employees use it. An audio overview can provide additional orientation. Binding instructions still remain in the controlled original version. When the process changes, update the sources and derived learning materials together. Otherwise, even a clearly written learning aid can quickly become precisely wrong about current practice.
Source grounding is not automatic quality assurance
An answer can cite a source and still represent it incompletely or misleadingly. Check exceptions, conditions, figures and negations especially carefully. When document versions conflict, explicitly request a conflict list. A quiz also does not automatically demonstrate competence in actual work. Use practical scenarios and review the reasoning behind the answers. Before recording conversations, establish which information may be captured and who will have access. Easier processing of a recording is not a reason to move confidential conversations into another environment without an agreed process and clear responsibility for the material.
Test knowledge work with a bounded source pack
Start with one topic whose correct answers the team already knows. Test a straightforward question, an exception and a fact deliberately absent from the source pack. Missing information should remain visible. Then assess whether the learning overview or audio actually helps onboarding and how much professional correction is required. Assign an owner for updates.
