Connect Gemini in Workspace with MCP: CRM and project tools

Many follow-up questions arise because customer records live in a CRM, tasks in a project tool and drafts in Google Docs. New Workspace connections can ease those hand-offs. Turning an accessible system into a useful source requires matching identities, permissions and freshness.

The essential answer

Since September 15, 2026, Google documents MCP integrations between Gemini in Workspace and Asana, Atlassian Rovo, HubSpot, Mailchimp, QuickBooks, Monday and Salesforce. Administrators can control the connectors. These product integrations differ from custom MCP servers and new Workspace Studio steps; their approval settings are not interchangeable.

What a Workspace connector provides

The new connections bring information from additional work tools into Gemini use within Workspace. The announcement lists Docs, Sheets, Slides and Google Chat among the entry points after enablement. A sales team could use them to prepare proposal text with traceable CRM context. A project lead could combine task and document status in a briefing. The named product list does not establish every imaginable read or write operation, however. Check the actual functions exposed by the chosen connector. Seeing a familiar product name is not the same as having a complete integration design.

Document enablement and identity

Google describes the connector feature as enabled by default for users with suitable Gemini for Workspace access. Administrators can manage it by domain, organisational unit or group. The actual edition and connectors visible in your tenant still need confirmation during rollout. Enabling a connector does not replace an account or permissions in the third-party system. Record which user connects to which service and whether that role can see the same data outside Gemini. Include both an ordinary employee account and a deliberately restricted account in the evaluation, rather than testing only with broad administrator access.

Example: prepare an evidenced customer briefing

Start with one CRM connector and a bounded objective: a briefing for an existing customer meeting. Ask Gemini to assemble the last recorded need, open activities and status of a specific proposal. The draft separates CRM facts, statements from approved documents and suggested questions. Each changing fact carries a source and date. Sales owners check the correct customer, similarly named contacts and superseded proposals especially carefully. Keep the initial pilot from writing back. This shows whether the connection shortens retrieval work without immediately introducing new errors into the system of record.

MCP, product connectors and Studio are different layers

MCP is an interface for AI applications to access tools and data. The announced Workspace connectors are specific product integrations built on that basis. This does not imply that arbitrary self-hosted MCP servers can be configured through the same surface. Workspace Studio, in turn, organises workflows through starters and steps. Its custom steps, integrations and webhooks announced on September 17 have separate administrative controls and are off by default. Record those distinctions in the project plan. Otherwise, permission to look up information can be mistaken for approval of an entire automated process that changes records.

Treat source content as source content

A CRM field or project ticket may contain text that resembles an instruction. The application should treat that material as data to assess, not authorisation for additional actions. Keep initial tasks limited to research and drafts. If writing capabilities are added later, name the target object, permitted fields and required confirmation. The integration also needs to handle expired sign-in, deleted records and timeouts. An empty retrieval must not automatically become a claim that there are no open tasks. Missing information and a successfully confirmed empty result are different business states and need different wording.

A successful connection dialogue is only the beginning. Test a current case, an old record, a similar customer name and denied access. Compare the briefing with the system of record and measure rework. Document how users disconnect a service and who resolves failures. Only then should the team add more sources or actions. Questions about Gemini and Workspace MCP

Do I need my own MCP server? Not necessarily for the announced product connectors; inspect the existing offering first. Are all actions in the connected application available? The connector list does not establish that. Are connectors off by default? Google describes Gemini Workspace connectors as on, while the new Studio extensions are off. Can we immediately let it modify customer data? First verify the actual write capability, permissions and approval process. What is a useful first task? A sourced briefing or draft whose statements can be checked against the CRM and approved documents.
