The separate announcement published on September 22 schedules new defaults for automatic notes. From September 29, settings for meetings with at least three people can begin taking effect; the extended rollout may exceed 15 days. The new administrator default is described as on for Business Standard and Plus. It is off for Enterprise Standard, Enterprise Plus, Frontline Plus and the education add-on. Organiser licensing, language and controls

The help page requires an eligible Workspace edition or supported Google AI plan. For a particular meeting, the organiser’s entitlement matters. German is among the listed languages; multiple languages spoken in the same session are not supported. Some detailed customisation options remain in beta. With host management enabled, only organisers or authorised hosts can control note-taking. Include these distinctions in a short team guide. Avoid claiming that every Google Meet session can automatically produce a complete record. Missing permissions or disabled smart features can prevent access even when participants have previously used the feature elsewhere.

Example: turn a project meeting into action items

For a weekly project meeting, the team names someone in advance to review decisions and next steps. After the session, that person compares Quick Notes with Full Notes and fills in missing owners or dates. An action is accepted only when the required work, responsible person and deadline are clear. Unresolved questions remain open. The approved version can then enter the normal project workflow. This prevents a fluent summary from turning discussion into an apparent commitment. Measure usefulness through reduced follow-up questions and rework rather than simply counting the number of automatically generated pages.

Sharing can include invitees who did not attend

The organiser can choose different recipient groups, including invited guests, internal invitees or hosts only. Distinguish an invitation from actual attendance: the described sharing options refer to invited people. Check external guests and group addresses particularly carefully. An attachment visible in a calendar event also does not automatically mean every viewer can open the document. Meet informs participants when note-taking is active; administrators can additionally require explicit consent for certain features. Establish how confidential parts of a conversation should be handled before automatic defaults take effect across the team.

Include storage and follow-up in the pilot

Current help describes notes stored in the organiser’s Google Meet folder, with a subfolder for each meeting. September also changes the previous storage arrangement. Review existing links and internal instructions accordingly. Test an ordinary session, one with an external guest and one where note-taking is deliberately stopped. Verify language, recipients and access after the meeting. If a summary is missing or incomplete, the previous note-taking process should remain available.
